This privacy policy explains what personal information StillGrounded Labs collects, why we collect it, how long we keep it, and how you can ask us to correct or delete it. StillGrounded Labs ("we," "us," or "our") is a sole proprietorship owned by Amanda Neiley and registered in Ontario, Canada. We are committed to protecting your privacy and handling your personal information with transparency and care, in accordance with applicable Canadian privacy laws, including PIPEDA.
1. Information We Collect
We collect several types of information to provide and improve our Service to you: Account and Contact Information: When you create an account, purchase access, request support, or otherwise use the Service, we may collect: email address, first name and last name (if provided), and account login and settings information. Payment Information (via Third-Party Processors): If you make a purchase, payment details are processed by secure third-party payment processors. We generally receive limited information needed to confirm payment and do not store full card numbers on our servers. Usage Data and Device/Technical Data: We may collect information about how you access and use the Service, such as app and site interactions, device and browser information, and cookies or similar technologies. Reflection/Journaling and Wellness Data: Our flagship product, Steady Shift, allows you to engage in nervous system regulation and AI-powered reflection. This may include reflection prompts and responses, journaling entries, nervous system check-ins, and movement logs. StillGrounded Learning Data (Student/Learner): For our educational branch, we collect minimal data required to provide an ad-free learning experience. We do not sell student data or use it for targeted advertising. Return to North Compass Check Quiz Data: When you complete the free Return to North Compass Check quiz, we collect your quiz answers and your email address (used to deliver your results). Your quiz responses are used to generate a personalized summary of your current compass direction and are not stored as health, medical, or mental-health data. Your email address may be used to send you your results and, with your consent, occasional updates about Return to North products. You can unsubscribe at any time.
2. How We Use Your Information
StillGrounded Labs uses the collected data to: provide and maintain the Service; create and deliver your requested experiences including AI-powered coaching; process payments through third-party processors; personalize and improve the user experience; notify you about changes to the Service; provide customer support; analyze usage trends in a privacy-respecting way; deliver Return to North Compass Check quiz results by email; and fund and support the development of StillGrounded Learning.
3. AI Processing and Confidentiality
Our Service utilizes artificial intelligence to assist in guided journaling and leadership coaching. When you choose to use our AI coaching/reflection tools, the text you submit is processed to generate the output you request. This processing may involve trusted third-party AI infrastructure providers acting as our service providers. Your reflections are private. We do not sell your AI inputs or personal journaling content. We do not use your personal journaling content to train general AI models for third-party use. Access to this data is restricted to what is necessary to operate, secure, and improve the Service. Please avoid entering highly sensitive information you would not want stored (for example, government IDs or account passwords).
4. Data Retention
We will retain your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your data to the extent necessary to comply with our legal obligations, resolve disputes, and enforce our legal agreements and policies.
5. Transfer and Disclosure of Data
Your information, including Personal Data, may be transferred to and maintained on computers located outside of your province or country where data protection laws may differ. StillGrounded Labs will take all steps reasonably necessary to ensure that your data is treated securely. We do not sell your personal information and we do not share it for cross-context behavioral advertising. We may disclose your data only to comply with a legal obligation, to protect the rights or property of StillGrounded Labs, to prevent wrongdoing, or with third-party service providers who are required to protect your information.
6. Security of Data
The security of your data is important to us. While we strive to use commercially acceptable means to protect your Personal Data — including encryption and secure AI processing — no method of transmission over the Internet or method of electronic storage is 100% secure.
7. Children's Privacy (StillGrounded Learning)
Our "StillGrounded Learning" branch provides tools for students and is designed to be ad-free. We do not knowingly collect personally identifiable information from children under 13 without verifiable parental consent. We do not sell student personal data or use student data for targeted advertising.
8. Your Data Protection Rights
You may have the right to: request access to your personal information; request correction of inaccurate or incomplete personal information; withdraw consent where we rely on it; ask questions about our privacy practices; access, update, or delete your information; object to our processing of your Personal Data; and data portability.
9. Third-Party Services
Our Service may contain links to other sites not operated by us. We strongly advise you to review the Privacy Policy of every site you visit. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services.
10. Changes to This Privacy Policy
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the Effective Date at the top.
10A. Governing Law
This Privacy Policy is governed by the laws of Ontario, Canada, and the applicable federal laws of Canada, without regard to conflict of laws principles.
